Languages: Speaking to Each Guest in Theirs Without Hiring Ten People
October 17, 2026 · 4 min read

A guest who asks the breakfast hour in their own language is not asking for a language department. They are asking the hotel to handle it without forcing them to translate the need. If nobody answers, or the answer comes in a language that is not theirs and the fact gets lost, the welcome already failed before the room.
Hiring a person for every language that comes through the door is not the plan of a small hotel, and saying “ten” is a way of saying that, not a count of languages or jobs. You do not need to know how many languages come in to see the problem: the simple things repeat in several languages and the team is the same.
What can be said in the guest’s language
You can say the schedule, how to get there, whether a simple date is open, and repeat a confirmation that already exists. That is repetitive in any language. Having a busy person answer it, in a language they do not handle, does not make it more human. It makes it slower and easier to get wrong.
The answer in the guest’s language is not decoration. It is that they understood the fact. If the line is kind and the hour is wrong, the language saved nothing. First the correct fact. Then, in the language they asked in.
What language skill does not close
A complaint, an exception, a yes that depends on seeing the room, do not get closed because the sentence came out in the right language. The judgment still belongs to someone at the hotel. If that person does not speak the language, do not pretend they do. Say the limit and pass the story: what was asked, in their words, and what was not promised.
The bridge can be short. The person reads what is needed and answers with a decision, even if the final line goes back out in the guest’s language. What cannot happen is the guest repeating the story three times because each stretch was in a different language and nobody wrote it down.
Do not pretend the whole hotel is fluent
There is a temptation to sound international on every line. The guest notices when they ask for something odd and the answer is a set phrase that does not touch their case. Better a simple answer said well, and a person when the case stops being simple, than a brochure tone on every line.
You also do not ask the guest whether they mind continuing in their language with a machine for the simple things. You do it, and you offer a person when it is needed, in a sentence they understand. A speech about how the tool works is another language they did not ask for.
The team does not disappear
Letting the repetitive answers go out in several languages gives the team back the time they lost searching for a word or passing the phone. That time is for the person in front of them, in the language the team does speak, without rushing. A person does not have to become a polyglot for the hotel to stop leaving someone without an answer at eleven at night.
If the team speaks two languages and the guest arrives in a third, the person is still the one who decides the exception. Not the one who translates the schedule. Separating that avoids hiring by language and avoids leaving the hard case inside an automatic answer.
This week, try a language the team does not cover
With whoever is on duty, note the languages they actually heard in the last few days. Do not look for an official list. The ones they remember. Beside them, separate the questions that were a fact from the ones that were a decision.
- What was a fact: it can be answered without taking a person.
- What was a decision: it reaches someone, with the story written down.
- What was lost because nobody shared the language and nobody wrote it down.
Fix only the third. One note that travels even if the sentence was in another language. The language of the greeting can be the guest’s. The judgment still belongs to someone at the hotel.
Do not publish how many languages you cover and do not turn it into a promise. This week it is enough that a guest does not repeat a simple fact because of language, and that an exception does not close itself because it sounded well translated.
Ten people, one per language, is not the measure. The measure is whether the person who asked in their language got the fact, and whether the person who needed someone at the hotel got them with the story already assembled.
If the person who decides does not read the language, do not leave them guessing. The note brings the request in the team’s words, next to what the guest said. Translating the story for whoever has to say yes or no is part of the bridge. Without that, the guest’s language stays at the door and the decision is made blind.
And if nobody at the hotel can check a doubtful sentence, do not invent certainty. Say someone will confirm and leave the case written. Speaking the language is not the same as being able to promise. This week do not add languages to a sign. Remove one repetition.
