AI Concierge Without a PMS, What You Can Test and What Needs Integration

An AI concierge without a PMS can answer your hotel's general information from day one, such as hours, services, policies and how to ask for help. What it cannot do without a PMS is check or change reservation details, because that data lives in the system and not in the text you give it.

That difference defines what you can test now and what is better left for an integration. If it is clear before you start, you avoid promising guests something the agent cannot do yet.

What Contler says about working without integration

Contler's website describes two ways of using the AI Concierge. In the first, the agent works standalone, automating requests and answering questions without heavy IT involvement. In the second, it connects to the PMS, POS and other internal tools to automate room service orders, spa bookings and maintenance tickets.

The site's FAQ sums it up. Contler is integrated with several PMS and POS systems, but integration is not required to work with your hotel. Custom integrations, according to the same site, take 2 to 6 weeks depending on their complexity.

What you can test with an AI concierge without a PMS

Anything answered with stable, approved information fits this stage. A useful test list includes these questions.

  • Check-in, check-out, breakfast, pool or gym hours.
  • Location, directions and what is nearby, if the hotel has that information confirmed.
  • Pet, accessibility, smoking or visitor policies.
  • How to request towels, housekeeping or maintenance, and who receives the request.
  • Available services and their general conditions.
  • Questions in other languages. The website says the agent answers in more than 20 languages.
  • Questions outside front desk hours, since the agent works 24/7.

In all these cases the answer depends on the quality of the information, not on a technical connection. That makes this the best place to measure whether the agent works for your hotel.

What needs integration

Some questions sound simple and are not. "What time is my check-out?" looks like general information, but if the guest has an approved late check-out, the right answer is in their reservation.

These are the cases that generally depend on connecting the agent to other systems.

  • Checking the status or details of a specific reservation.
  • Changing dates, room or number of guests.
  • Confirming real availability for the spa, restaurant or transfers.
  • Charging a purchase to the room or logging an order in the POS.
  • Creating tickets in the internal tool maintenance uses.

Needing integration does not mean the agent has to stay silent. In the meantime it can take the request and pass it to a person, who resolves it with the usual systems.

A way to decide case by case

When you are not sure which group a question belongs to, ask yourself two things. First, whether the answer is the same for every guest. Second, whether answering it requires looking at or changing something in a system.

If the answer is the same for everyone and touches no system, it goes in the no-PMS test. If it varies by guest or requires an action in a system, it goes to the integration list or to the team.

Illustrative example. A city hotel wants the agent to answer parking questions. The hours and the general rate are stable information. Knowing whether there is a space tonight for a specific guest depends on another system or on a person.

How to write the answers that cannot be resolved yet

The sentence the agent uses when it cannot do something matters as much as its answers. Write it with a clear next step, for example saying that the front desk will confirm availability and through which channel.

Avoid answers that leave the guest stuck, and avoid letting the agent invent a confirmation. A request passed well to a person beats a confident, wrong answer.

When it makes sense to ask for integration

The no-PMS test gives you your own data. If after a few weeks you see that many conversations end with a person because of reservation questions, you have a concrete case for discussing integration with your PMS provider and with Contler.

If you want to understand why the connection to systems is the hard part of AI in hospitality, I analyzed it in this article on integration. The goal here is more modest, knowing what to test before you get to that conversation.

Frequently asked questions

Does the AI Concierge work if my hotel has no integrated PMS?

Yes. According to Contler's website, integration is not required to work with your hotel. Without it, the agent answers with the information you give it and passes anything that needs a system to your team.

Which PMS does Contler integrate with?

The website says it is integrated with several of the leading PMS and POS systems, without publishing a closed list. Ask about your specific system before planning the integration.

How long does an integration take?

Custom integrations take 2 to 6 weeks depending on complexity, according to the website. That is a different timeline from creating the agent.

Can the agent tell a guest their reservation status without a PMS?

Not with data from their reservation. It can explain the general policy and pass the question to the front desk to confirm.

What should I test first?

The questions that get the same answer for every guest. They are the easiest to review and the ones that take up the most front desk time.

What you can do this week

Take the questions your front desk gets most and tag each with one of two labels, "same for everyone" or "depends on the system." With the first group you can create your AI Concierge and start testing without waiting for any integration.
